Job Summary: Under limited supervision, the Career Services Specialist implements direct student support for job searches, resume reviews and interview preparation. The Career Services Specialist helps maintain the College’s jobs platform and other career tools while coordinating with students, employers and other campus stakeholders. In addition, the Career Services Specialist assists in the recruitment and oversight of internship programs and similar partnerships. This role includes overseeing daily office operations, managing student workers, and assisting with departmental events. The Administrative Assistant must exercise sound judgment in handling routine and non-routine tasks while maintaining confidentiality and discretion. Exceptional customer service is critical in interactions with students, faculty, staff, and external parties.

Essential Duties and Responsibilities: The following duties are key responsibilities of the role. Additional related duties may be assigned as needed.

General Office Duties:
1. Handle incoming calls, provide information, direct inquiries, and take messages.
2. Check and respond promptly to all Career Services emails.
3. Assist students with resume development using digital tools.
4. Assist students with career research and job search using available platforms, job boards and other systems.
5. Assist students with mock interviews.
6. Manage intake for students visiting the office and assist with scheduling for student appointments.
7. Provide oversight and guidance for students and employers using the College’s online job platform and other digital tools.
8. Assist with hiring, coordination and outreach for on-campus student employment.
9. Maintain and update records for both students and external parties in the CRM.
10. Perform routine outreach to community partners as directed.
11. Organize and prepare documents requiring Director approval.
12. Occasionally represent the Career Services department at campus and community events.
13. Organize and coordinate career fairs and other events under the supervision of the Director.
14. Proofread documents for errors and make necessary corrections.
15. Maintain accurate knowledge of resources to respond to internal and external customer inquiries.
16. Attend meetings as needed, taking notes and minutes as required.
17. Utilize the internet for research and communication purposes.
18. Regular attendance is expected.
19. Using tact and courtesy, establish and maintain effective relationships with individuals contacted during the course of work.
20. Other duties as assigned.

Minimum Qualifications:
· Associate’s degree required.
· Strong ability to read, comprehend, and follow instructions, correspondence, and memos.
· Proficiency in writing correspondence and effectively presenting information in one-on-one and small group situations.
· Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form, and to solve problems involving several concrete variables in standardized situations.
· Proficiency in Windows, Microsoft Word, Excel, and database entry.
· Ability to learn and use the College’s administrative software systems as appropriate to the position.
· Valid driver’s license.

Work Environment
While performing the duties of this job, the employee regularly works in an office setting. Some travel for community events may be required.
